EVENT PLANNING

The size of a booked room (including the room included in the package price) depends on the number of people. If a larger room is desired than is necessary for the planned number of people and the setup, an additional charge will apply. All our prices are in Swiss francs. Franconia.

Upon confirmation of your booking, we will send you the written event contract. To ensure the smooth execution of your event, we will contact you – depending on the booking period – at least 20 working days prior to the event to finalize all details (please refer to the cancellation policy on page 2). This includes providing all information regarding the room setup and technical requirements.

ROOM ALLOCATION

For hotel room bookings related to an event (block reservation), we require the final room list 10 business days prior to arrival. (Please refer to the cancellation policy on page 2.) We reserve the right to allocate hotel rooms throughout the Hotel Sempachersee complex. If you overbook your agreed-upon room block, we reserve the right to relocate your guests to a comparable hotel in the vicinity at your expense. For a room block booking, we will agree on a "code word" that your guests can use to book rooms directly. The room block booking closes three months prior to arrival. After this time, the rooms are released for general sale. The room block prices apply only to direct bookings through the hotel and not to bookings made through secondary or third-party providers.

INVOICING

For banquet events (feasts, celebrations, etc.) without meeting rooms or hotel rooms (catering services only), the number of guests reported up to three business days before the event will be used as the basis for billing. If the number of guests is lower, the reported number will be billed. If the number of guests is higher, the actual consumption will be billed. For F&B event/menu orders, the number of guests reported 72 hours before the event will apply. At the end of your event, we will promptly send you a final invoice with a payment term of 20 business days.

CANCELLATION – REDUCTION

If the event (including room) is cancelled or reduced for reasons on your part, you are obligated to reimburse the following costs:

Bookings up to and including 49 hotel rooms/49 people and/or 10 rooms

90-61 days before arrival: 25% of lost revenue
60 – 31 days before arrival: 50% of lost revenue
30 – 07 days before arrival: 75% of lost revenue
6 – 0 days before arrival: 100% of lost revenue

Bookings from 50 hotel rooms / 50 people and/or 10 rooms

120 – 91 days before arrival: 50% of lost revenue
90 – 41 days before arrival: 75% of lost revenue
40 – 21 days before arrival: 90% of lost revenue
20 – 0 days before arrival: 100% of lost revenue

Up to 2 rooms and corresponding conference packages per group or event can be cancelled free of charge up to 1 day before arrival until 15 pm.

Should we be forced to cancel an event due to exceptional circumstances, we will do our best to find an equivalent alternative for you. This excludes events scheduled more than three months in advance. In the event of a VAT increase or other additional tax, we reserve the right to adjust the quoted rates. To avoid any misunderstandings, all cancellations must be made in writing.
